How to Create a Home Inventory

Home Inventory

Would you be able to remember everything you own if it were lost in a fire, theft, or natural disaster? Most people cannot. That is why having an up-to-date home inventory is one of the smartest and simplest ways to protect yourself.

A home inventory helps speed up your insurance claim, supports documentation for tax purposes, and ensures you have the right amount of coverage in place.

Focus on High-Value Items

Jewelry, artwork, collectibles, and specialty items often increase in value over time. These may require separate coverage or endorsements on your policy. If you are unsure, this is a good time to review your coverage with your agent.

Use Photos and Video

A visual record can be just as valuable as a written list.

  • Take photos of each room
  • Capture close-ups of valuable items
  • Open drawers, closets, and cabinets

You can also record a quick video walkthrough of your home while describing what you see. This is especially helpful for items like kitchenware, clothing, and storage areas.

Home Inventory Apps

Mobile apps make it easier than ever to document your belongings. These are examples of commonly used tools. (Note: these are not endorsements.)

Encircle

Best for insurance claims. Because it was originally built with the insurance industry in mind, its room-by-room photo and video documentation makes it incredibly fast to capture a visual baseline of your home. It is the gold standard if your primary goal is disaster prep. Available on iOS and Android.

Sortly

Best for visual, business-style organization. It is incredibly robust, especially if you love folder systems and QR code labeling (which is great if you are moving or have a lot of items in storage boxes). Keep in mind that the free tier limits how many items you can track, which means most power users end up needing a paid upgrade. Available on iOS and Android.

Home Inventory (by Binary Formations)

Best for deep detail. This is a classic, highly respected tool if you are deep in the Apple ecosystem. It’s unparalleled for tracking warranties, logging purchase details, and managing multiple properties, but its main limitation is that it lacks an Android counterpart. iOS app designed specifically for detailed home tracking.

Nest Egg

Best for simplicity. If you want a low-friction, easy-to-use app without a steep learning curve, this iOS app is fantastic. It automatically populates product details when you scan barcodes, which saves a ton of manual typing. Available on iOS.

Using AI to Make It Easier

Creating a home inventory does not have to be manual anymore. AI tools can speed up the process and help you stay organized.

Quick AI Tips for Home Inventory

  • Use your phone camera and AI recognition
  • Voice-to-list tools
  • Photo organization with AI
  • AI assistants for categorizing
  • Receipt scanning apps

Storing Your Inventory

No matter how you create your inventory, make sure it is stored safely and accessible. Keep a cloud-based copy (Google Drive, iCloud, Dropbox), back up files to an external drive, and store physical copies in a safe location outside your home.

In the event of a loss, having quick access to your inventory makes the claims process much smoother.

Make It Simple, Keep It Current

A home inventory is not a one-time task. Update it as you make new purchases or replace items. The best time to log something is right after you buy it.

Creating a home inventory may feel like a big project, but it does not have to be perfect to be useful. Even a simple list with photos can make a major difference when it matters most.

If you have questions about your coverage or want to make sure your policy aligns with what you own, your agent is always a good place to start.
